How to set your email sending server up

Taking full control of your email sending gives you more power, better deliverability, and improved trust — but it also comes with a few important setup steps. These might feel a little technical at first, and that’s totally okay.

1. Set up your sending server

Start by adding your sending server on ConvertNow!

Get your SMTP or API server details from your provider.

Didn’t see your sending server listed above?

ConvertNow is built to accept all other sending servers through an SMTP connection or via an API on request.

2. Setup your sending domain

Before you can send emails from ConvertNow, you need to verify your domain. This ensures your emails are authenticated, secure, and land in inboxes — not spam folders.


✉️ Step 1: Add Your Domain in ConvertNow

  1. Go to Settings → Sending Domains

  2. Click + New Sending Domain

  3. Enter your domain (e.g., yourdomain.com)

  4. Make sure “Signing Enabled” is checked ✅

  5. Click Save

You’ll now see a DNS setup screen with the values you need to verify your domain.


🌐 Step 2: Add DNS Records to Your Domain

Log into your domain registrar or DNS host (e.g. Cloudflare, Namecheap, GoDaddy), then add the exact records ConvertNow provides.

You will typically need to add 2 TXT records:

⚠️ Be sure to copy and paste values exactly as shown in ConvertNow.
❗ Cloudflare users: set proxy to DNS only (gray cloud) for these records.


🔁 Step 3: Click “Verify Now”

  1. Wait 5–15 minutes for DNS changes to take effect (may take longer depending on your registrar)

  2. Return to ConvertNow → Settings → Sending Domains

  3. Click Verify Now

If everything is correct, your domain will be marked ✅ Verified.


✅ Why This Step Matters

  • Ensures your domain is authorized to send emails

  • Improves inbox placement and deliverability

  • Protects your brand from spoofing or impersonation

3. Set up your sending identity

Before you can send any email campaigns, you must verify the “From” email address that will appear in your recipients’ inboxes.


📧 Step 1: Add Your Sending Email

  1. Go to Settings → Senders

  2. Click + New Sender

  3. Fill in the following:

    • Name: This is the sender name your audience will see (e.g., “Growth Grind”)

    • Email Address: Enter the email address you want to send from (e.g., [email protected])

  4. Click Save


📥 Step 2: Confirm the Email Verification

  1. Check the inbox for the email address you just added

  2. Open the email from ConvertNow

  3. Click the verification link inside the message

⚠️ Haven’t received it? Check your spam or promotions folder.


✅ Step 3: You’re Verified!

Once you click the link:

  • Your sender identity will be marked ✅ Verified

  • You can now use this email in the “From” field when creating campaigns


🔐 Why This Step Matters

  • Confirms that you own the email address

  • Prevents spam, spoofing, and unauthorized usage

  • Greatly improves email deliverability and sender reputation

4. Setup your tracking domain

All our users have to set a custom tracking domain of their own to track opens, clicks, and other stats for their emails.

Note: Using your own tracking domain helps boost your brand’s trust and credibility with both email providers and your audience.

Follow this quick guide to enable tracking with your own brand (e.g., track.yourdomain.com  instead of  app.convertnow.co).


🔧 Step 1: Choose a Subdomain

Pick a subdomain you want to use for tracking.

Example:

track.yourdomain.com

You’ll create a CNAME record pointing it to app.convertnow.co.


🌐 Step 2: Add a CNAME Record in Your DNS

Log into your domain provider (e.g., Cloudflare, GoDaddy, Namecheap) and add this DNS record:

✅ Ensure it’s set to DNS only (not proxied) if using Cloudflare
⏱ It may take a few minutes to propagate


🔐 Step 3: Enable SSL (Optional but Recommended)

Option A: Using Cloudflare?
Cloudflare will automatically serve SSL for your tracking domain — just make sure:

  • Proxy (orange cloud) is on

  • SSL mode is Full or Flexible in Cloudflare settings

Option B: Not using Cloudflare?
Ask your hosting provider or domain registrar how to install a free SSL certificate for your subdomain.


🔁 Step 4: Add the Tracking Domain in ConvertNow

  1. Go to Settings → Tracking Domains

  2. Click Add Domain

  3. Enter your full domain (e.g., track.yourdomain.com)

  4. Click Verify after DNS is propagated


🎉 You’re Done!

Once verified, ConvertNow will:

  • Use your domain on all tracked links and opens

  • Improve your deliverability and branding

  • Make you look more legit in inboxes
